Titre du poste : Inventory & Logistics Assistant (Lomé)

Key Accountabilities & Responsibilities
1-Administration of travel, accommodation and local logistics - 40%
-Liaise with hotel to make accommodation arrangement for staff and visitors including reservation and booking and checking to
ensure accurate billing is done by hotels on the basis of an approved Travel Request Form;
-Prepare a schedule of vehicle servicing, and a record of vehicle maintenance and fuel usage;
-Maintain vehicles daily inspection/pre-trip inspection records and file them on livelink;
-Carry out inspection on vehicle prior to cross country trips and assist to make arrangement with Customs and other authorities for
items to cross border into or out of Lome;
-Update and file drivers, vehicles records on livelink;
-Assist to coordinate the efforts of Custom Authorities, Contracts & Procurement and Treasury to ensure goods/spares arriving are
cleared in timely manner and the applicable duties and customs are accurately determined and paid;
-Assist drivers in carrying out tool box meetings;
-Assist for the maintenance of the Lome office facilities-ensure maintenance service are timely carried out;
-Ensure roadworthiness of vehicles and update records for drivers’ licenses etc., ensure adequate office layout and arrangements for
-Issues weekly report on accommodation and travel. Issue monthly report on status of vehicles, monthly.
2 - Inventory and material management functions - 50%
-Carry out proper classification, labelling and adequate warehousing to ensure the store is well organized and operated in a safe
manner; materials are well preserved, and general access to the storeroom is restricted;
-Receive goods delivered by carrying out adequate physical inspection and arranging for technical inspection. Unload goods and check
them against orders and update the receipt record on the bin card and in Maximo;
-Initiate stock replenishment when stock level reaches re-order/agreed level by processing a requisition to C&P and follow up to
expedite delivery of orders;
-Issue items from Maximo against approved Work Order or against approved consumable logs and update the bin card and ensure the
item is taken away by the requester;
-Create Internal Purchase Order (IPO) in Maximo for all items requested by Lome or to other stations and follow up to ensure the
transfer is completed and the necessary records are processed;
-Create and regularly update a monitoring log of tools issued and returned and tools permanently assigned to Operation personnel;
-Carry out inventory cycle count, assist in year-end count and inventory spot check and provide explanation for any discrepancies and
take steps to implement approved recommendation;
-Identify obsolete and slow moving items and make recommendation for their disposal;
-Submit timely weekly reports on material receipts, material issues, returns, purchases requisition issued and Monthly; -
Inventory KPI Report to Deputy manager Materials.
3 - Other duties - 10%
-Handle petty cash and issue daily report on the utilization of the petty cash to FCS;
-Assist FCS-Lome for the month end cash count;
-Assist FCS-Lome in updating the invoices register;
-Assist to collect Bank draft at EcoBank-Lome.
Be able to relief the role of Finance Controls Specialist - Lome in his absence
Key competencies required (including formal qualifications)
Knowledge: Degree or HND in a Commercial or related discipline
Key Skills :
Experience in the management of inventory; Adequate knowledge of inventory management; Adequate knowledge in Logistics and
planning; Ability to relate with people at all levels of the organization - good customer service skills; Good knowledge of Microsoft
office tools; Ability to plan and deliver within deadlines; Zeal to learn; Fair knowledge of the principles and methods for moving people
or goods by air, sea, or road, including the relative costs and benefits.
